We open your Zoho Books and write down what's wrong.

Most Zoho Books files we see have been running for a year or more without anyone checking what sits underneath the reports. The tax rules on the items, the ledgers the bank feed has been dumping into, the people who still have admin access. We go through yours, list every problem with the ledger, the period and the amount, and tell you what to fix first.

GST and TDS

Zoho Books calculates tax from the settings you gave it on day one. If those were wrong, every invoice since has been wrong in the same way, and the GST portal won't tell you.

What we check

  • GSTR-1 against the sales register for the last three filed months
  • Input credit claimed against GSTR-2B, bill by bill
  • Place of supply on inter-state invoices and branch transfers
  • HSN and SAC codes on the item master, and the number of digits your turnover requires
  • Reverse charge bills: transport (GTA), advocate fees, rent from an unregistered landlord
  • E-invoice and e-way bill settings against your current turnover
  • TDS on contractor and professional payments, and whether it shows up in the right quarter

Bank and payments

The bank feed brings transactions in. Somebody still has to match them. When that slips, the difference goes into Suspense and stays there.

What we check

  • Date of the last reconciliation on every bank, card and wallet account
  • Uncategorised feed entries, and what's sitting in Suspense
  • Duplicates from the same payment entered by hand and through the feed
  • Customer receipts that were recorded but never applied to an invoice
  • Payment gateway settlements booked net, with the charges missing
  • Petty cash that goes negative on some days (cash can't)

Ledgers and opening balances

If the starting numbers were wrong, every report since has been built on them. This is the most common thing we find after a move from Tally.

What we check

  • Opening balances against the last audited balance sheet or Tally closing trial balance
  • Opening Balance Adjustments, which should be zero
  • Receivables and payables brought in bill by bill, not as one figure per party
  • Duplicate ledgers ("Electricity", "Electricity Charges", "EB Charges")
  • Account types: a laptop booked as office expense, a loan booked as income
  • Whether the trial balance ties to the balance sheet you filed

Stock, users and controls

These don't show up in a P&L. They show up when stock is counted, when someone leaves, or when a filed month changes.

What we check

  • Items with negative stock, and the same item created twice under different names
  • A sample of stock on the shelf against stock in Zoho
  • Freight and duties added to the cost of purchased stock
  • Who has admin access, and who should have left the list already
  • Whether your CA has their own accountant login
  • Transaction locking on periods where returns are filed
  • The audit trail on edits to old invoices

      You add us as a user with accountant access. We go through every check on this page. It takes a few working days, depending on how many GSTINs, bank accounts and transactions you have. We don't change anything while we review.

      Every finding with the ledger, the period, the amount and the fix, in the order your CA would want them dealt with. Your team can fix it from the report, or we can, once or as part of monthly bookkeeping or support.

    FAQ

    Do you need our login for the call?

    No. You share your screen and we look together. For the review we ask you to add us as a user with accountant access, and you can remove us the day the report arrives.

    Someone else set up our Zoho Books. Is that a problem?

    No. The report is about the books, not about who set them up.

    Will you fix things during the review?

    No. The review is read-only so the report shows the books as they are. Fixing is a separate step, and you decide who does it.

    Our CA already checks the books.

    Then give them the report. A CA usually works from the reports at year end. Most of what we find sits upstream of those reports: tax settings on items, how the bank feed is matched, who has access.

    What does the review cost?

    It depends on the number of GSTINs, bank accounts and the volume of transactions. After the free call we send a fixed quote in writing, before any work starts.

    We use Zoho Books with Zoho Inventory or CRM. Do you check those too?

    We check the parts that feed the books: items, stock movements, invoices and payments coming in from CRM. The report says where a problem starts, even if that's outside Zoho Books.
