How we start
- 1
Connect
You add us to your Zoho Books with a role you choose. We agree the monthly scope in writing. - 2
Catch up
If books are behind, we bring them current first, month by month, with bank reconciliation. - 3
Monthly rhythm
Daily and weekly work, close by the 6th to 8th, MIS and a review call.
What a month looks like
- 1
Every day
Bank feeds checked, transactions categorised and matched. Gateway and marketplace payouts matched to orders where you sell online.
- 2
Every week
Vendor bills entered and sent to you for approval. A list of payments due. A list of overdue customer invoices for your follow-up.
- 3
Day 1 to 5
Bank, card and gateway statements reconciled to the last day of the month. Journals for payroll, depreciation and prepaid expenses. TDS payable working ready before the 7th.
- 4
Day 6 to 8
Books closed. Monthly MIS sent: P&L, balance sheet, receivables and payables ageing, cash position, and a note on anything unusual.
- 5
Day 8 onwards
GST working handed to your CA before GSTR-1 on the 11th: sales register, HSN summary, e-invoice and e-way bill checks. After GSTR-2B is generated on the 14th, purchase ITC is compared for GSTR-3B on the 20th.
- 6
After close
A short review call. Questions you or your CA raised are answered and recorded.
Your CA stays in charge
We do the day-to-day entries and reconciliations. Your CA keeps the statutory work: GST and TDS returns, income tax, audit and advice. We hand over schedules in the form they ask for.
The books sit in your own Zoho Books organisation. You and your CA can look at them any day. If you stop working with us, nothing has to be exported or recovered.
Examples
D2C skincare brand, website and 2 marketplaces
2,800 to 4,200 orders a month, a payment gateway and COD settlements. Daily bank feeds and settlement reconciliation. Result: Books closed by the 6th for 20 straight months. Unreconciled settlement difference came down from ₹3.8 lakh to under ₹15,000 in the first quarter.
Industrial maintenance contractor, 30 to 40 job sites
70 staff, milestone billing, retention money, TDS deducted by customers. Job-wise tracking through reporting tags. Result: ₹62 lakh retention receivable became visible per customer. Audit field work went from about 3 weeks to 6 days.
Group of 4 dental clinics
Daily collections across cash, UPI and cards, consumables bills, doctor fee payouts with TDS. Result: Day-wise collection reconciliation per clinic and per-clinic P&L by the 7th. The owner stopped keeping a parallel Excel.
Client details and figures changed to protect confidentiality.

Questions about monthly bookkeeping
Do you replace my CA?
No. Your CA stays in charge of GST returns, TDS returns, income tax, audit and advice. We maintain the books they rely on and hand over clean working every month. We do not file returns in your name unless your CA asks us to prepare the data.
How do you access my Zoho Books?
You add our team as users with a role you choose. You can change or remove access at any time, and the books stay in your own Zoho organisation. Your CA gets accountant access in the same way.
When will my books be closed each month?
Usually between the 6th and 8th, once bank statements and vendor bills for the month are complete. If a statement or bill is late from your side, we close with a list of what is pending rather than wait.
My books are behind by several months. Can you catch up first?
Yes. We start with a catch-up: bank statements entered and reconciled month by month, then bills and sales. The monthly rhythm starts when the books are current. Catch-up is quoted separately from the monthly work.
Do you file GST returns?
We prepare the GSTR-1 and GSTR-3B working: sales and purchase registers, ITC compared with GSTR-2B, and a list of mismatches. Your CA reviews and files. If you file yourself, we explain each figure before you do.
Can you handle payroll?
We record payroll journals, PF, ESI, professional tax and TDS on salary from the payroll output you give us. Running payroll itself stays with you, your CA or your payroll tool.
We sell online and settlements never match orders. Can you sort that out?
Yes. We reconcile payment gateway and marketplace payouts to orders, and book fees and TCS separately, so differences are visible per settlement and not buried in one bank line.
Is there a lock-in period?
We keep the engagement month to month after the catch-up is done. The scope and monthly deliverables are written down at the start so both sides know what is included.
Who will I deal with?
One accountant who knows your books, backed by a reviewer. You reach them on call, email or WhatsApp on business days.
